Office Manager Advisor (Arnold, MO)

I.  Basic Function

            Under the supervision of the Arnold Regional Learning Center Coordinator and the Associate VP for Extended Learning, the Office Manager/Academic Advisor is responsible for the establishment and maintenance of records, enrollment of students, acceptance of payments, student recruitment, assistance with program marketing.

II. Responsibilities

            Within the limits of authorized university policies and resources available, the Office Manager/Academic Advisor is responsible for the following:

  1. Establishment and maintenance of Missouri Baptist University at Jefferson College Arnold and the Arnold Regional Learning Center’s student, faculty, educational, and operational records.
  2. Coordination of communications between Missouri Baptist University and Missouri Baptist University at Jefferson College to insure efficient operations of the Jefferson College Arnold Office and Arnold Regional Learning Center. 
  3. Supervision and direction of fellow employees.
  4. Aide the Coordinator of the Arnold Regional Learning Center and Associate VP for Extended Learning in the overall operation of Jefferson College Arnold and Arnold Regional Learning Center facility.
  5. Timely submission, with direction from the Coordinator at the Arnold Regional Learning Center, of correspondence, requisitions, and faculty and student notices. 
  6. Correspondence to inquirers regarding programs available, schedules, and admission procedures.
  7. Recruitment and service for current and future students.
  8. Advisement and enrollment of both graduate and undergraduate degree students.
  9. Manage electronic degree audits through faculty/staff portal for advisees. 
  10. Prepare student schedules for online self-registration.
  11. Prepare and create rotation schedules and course schedules for both undergraduate and graduate programs.  
  12. Dissemination of employment, scholarship, and other useful resources to current students. 
  13. Update and improve articulation agreement/degree sheets in accordance with Jefferson College.
  14. Preparation and transmission of admissions and enrollment data to the Site Coordinator. 
  15. Production of, in conjunction with the public relations persons from Missouri Baptist University, Jefferson College Arnold, and the Arnold Regional Learning Center, a variety of media to assist in recruitment of students.
  16. Update and maintain Arnold Regional Learning Center information on the Missouri Baptist University website, as well as, other marketing sites that the Jefferson County Regional Learning Center utilizes.
  17. File any necessary documents into student files.
  18. Receipt and return of email and telephone calls and messages.
  19. Fax and scan all documents in timely manner to appropriate Missouri Baptist University departments and other Regional Learning Centers.
  20. Collection and transmission of monies received from students; preparation of MBU loan notes for students’ extended payments. 
  21. Proctor exit exams for undergraduate and graduate students. 
  22. Order supplies for office operation.
  23. Submit purchase orders and maintain budget for Arnold Regional Learning Center.
  24. Prepare the instructors copies for students and arrange classrooms with proper equipment such as supplemental materials, utensils, and technology.
  25. Receive textbook information and order textbooks for faculty teaching at the Arnold Regional Learning Center 
  26. Prepare and submit contracts for full-time and adjunct instructors teaching at the Arnold Regional Learning Center.
  27. Collection of syllabi from full-time and adjunct faculty. 
  28. Maintenance of an office and facility calendar to insure timely attention to projects and details for Jefferson College-Arnold and the Arnold Regional Learning Center.
  29. Prepare and host events at the Arnold Regional Learning Center

III. Relationships

  1. Reports to the Coordinator of the Arnold Regional Learning Center and Associate VP for Extended Learning. 
  2. Maintains cooperative spirit and communications with departments at the Main Campus. 
  3. Maintains relationships with Academic Advisors at the Main Campus. 
  4. Maintains cooperative spirit and communications with other Regional Learning Centers. 
  5. Maintains relationships with staff and advisors at Jefferson College. 
  6. Building relationships with local vendors in regards to normal office operations and for recruitment purposes. 

IV.       Performance Measurement Criteria

An annual evaluation shall be conducted by the Arnold RLC Coordinator. This evaluation will include an assessment of the Office Manager/Academic Advisor’s strengths and weaknesses, based on a review of the job description and recent performance. Any needed targets for performance improvement will be set.

V.        Minimum Requirements

Education and Experience

Bachelor’s degree preferred, competent in current word processing programs (at least 50 words per minute), knowledgeable in the usage of databases and spreadsheets.

Must be able to communicate effectively, preferably possess some writing skill.

Well-organized, able to supervise part-time employees.

Commitment and knowledge of the community serviced.
