Office Assistant for the Provost’s Office

I. Basic Function 
Under the direct supervision of the Administrative Assistant to the Provost/Senior Vice-President for Academic Affairs, the Office Assistant assists the above ranked person in all areas related to faculty and academic affairs. 

II. Responsibilities and Authority 
The Office Assistant in the Provost/Senior Vice President for Academic Affairs Office will perform a variety of administrative tasks including general typing, copying, filing, etc. Specific duties include, but are not limited to, the following tasks: 

  • Maintain professional relationship with the Provost, faculty, staff, students, and guests. 
  • Process Part-time/Overload Contracts using SignNow, ensuring all dollar amounts are correct and that all courses have been paid.  
  • Maintain special arrangements list for Part-Time/Overload Contracts for each division, per Provost’s approval. 
  • Generate contracts for special arrangement stipends. 
  • Email copies of contracts to faculty each month. 
  • Assist with production and mailing of student materials each semester for various projects, including but not limited to Honors Convocation Letters/Certificates. 
  • Maintain and update Faculty Loads and Faculty Office Hours for all full-time faculty. 
  • Advertise faculty/staff positions for employment. 
  • Assist with all Provost Office events including but not limited to: Fall Faculty Conference, Spring Faculty/Staff In-Service Day, Outstanding Students of Achievement Ceremony, Commencement, and Regional Learning Center Annual Meeting. (i.e. phone calls, reservations, orders, purchase orders, e-mails, agendas, and day-of-event support). 
  • Ensure all syllabi are approved and available for students by class start dates. 
  • Provide historical syllabi as requested. 
  • Collect CAD (Course Alignment Documents) for courses each semester. 
  • Answer phones and greet students and faculty. 
  • Assist in maintenance of faculty personnel folders (i.e. pursuing mandatory materials, filing or scanning updated materials, shredding of inactive folders, etc.).  
  • Assist with yearly updates of the Provost Event Calendar and e-mail notifications. 
  • Assist the Administrative Assistant as needed with all special projects as requested. 
  • Additional duties per the Administrative Assistant to the Provost.  

III. Relationships 
The Office Assistant for the Provost’s Office will observe the following relationships: 

Administrative Assistant to the Provost/Senior Vice President for Academic Affairs 
The Office Assistant reports directly to the Administrative Assistant to the Provost/Senior Vice President for Academic Affairs for execution of tasks and responsibilities as delineated in job description and deemed necessary by the Administrative Assistant. Any authorization of the Administrative Assistant is superseded by the authority of the Provost/Senior Vice-President for Academic Affairs.  

Faculty/Administrators 
The Office Assistant in Academic Affairs has a cooperative relationship, and responsibility to the faculty/administrators in facilitating the various duties, tasks and responsibilities as outlined in the job description.  To support faculty/administrators in whatever responsibility deemed necessary for the fulfillment of their roles as faculty/administrators. 

Student Workers  
The Office Assistant in Academic Affairs assists the student workers in fulfilling their roles in the Academic Affairs office. 

IV. Performance Measurement Criteria 
The Administrative Assistant to the Provost/Senior Vice-President for Academic Affairs shall conduct an annual performance review accessing the objectives, accomplishments, and personal professional development.   

Requirements

  • Ability to communicate effectively, both oral and written. 
  • Position requires sitting and viewing a computer monitor for extended periods of time daily and occasional lifting of heavy boxes. 

Minimum: 

  • Associate degree or higher, baccalaureate preferred. 
  • Prior office experience preferably in a college setting, but not mandatory. 
  • Proficiency in Microsoft Office. 

Compensation 
Compensation commensurate with experience and education.
