Electronic signatures have the ability to present recipients with an abundance of pertinent information in an organized, clear fashion. In addition, all signatures on behalf of MBU employees should appear professional and adhere to MBU policies. Following is an example of a well-constructed signature:

Electronic signatures not only have the ability to efficiently expedite communication, they can also easily convey an array of targeted messages to recipients. Following are two MBU messages that can be pasted to the bottom of employees’ signatures:

Signatures can also prevent the dissemination of messages that were unintended for a specific recipient. Following is such a message that can be pasted to the bottom of the employees’ signature:

Privileged and/or confidential information may be contained in this message. If you are not the addressee indicated in this message, or responsible for its delivery to the addressee, you may not copy or deliver this message to anyone. In such case, you should destroy this message and kindly inform the sender by reply e-mail.

More signature examples

To create a new signature:

  1. In the main Outlook window, select from the menu: "Tools > Options." Select the "Mail Format" tab and click on "Signatures."

     
  2. Click the "New..." button, and give your signature a name. Select "Start with a blank signature" if this is your first.

     
  3. Click "Next >" and type in the content of your signature. You can modify the look and feel of the text with the "Font..." and "Paragraph..." buttons.

     
  4. Click "Finish" and "OK" in the next window. Back in the Options window, your new signature should be automatically selected to be used for new messages. You can modify these settings as you wish.

     
  5. The new signature will appear every time you create a new message.
