All campus stationery is standardized for consistent identity and design. Letterhead and envelopes are provided by the Business Office while business cards and customized stationery is left to each department to budget. All stationery orders must be placed through the Business Office.
The font, layout, ink colors, and positioning of graphic elements are to be consistent on all stationery items. If there are special circumstances, they need to be voiced to the Office of Marketing and PR prior to ordering.
When preparing correspondence, be mindful of the proper margins, typefaces, and styles of each piece as outlined in this manual.
MBC stationery comes in two sets of specifications: Formal and Regular. The Formal paper specifications require Strathmore Bright White Elements - Lines (Vertical). The Formal paper, very smooth and clean, is for everyday correspondence needs. The Regular paper specification is a house stock, #3 white 28#. All bulk mailing and window-enveloped correspondence should use the Regular stationery.
Envelopes and letterhead should always match. Do not mix different paper stocks between the two. Additional enclosed materials should not conflict with the visual impact of the overall piece.
SPECIAL CONSIDERATIONS
Photocopies of College letterhead are not acceptable for
mailing.
Stationery displaying any outdated information or design
element should be used for scrap paper only not for correspondence.
Postage should fit the piece: first class for Formal and
third for bulk mail.
Stationery should not be hand-addressed with the exception
of invitations, monarch stationery, and thank you cards.
Bullets should be and not *or -.
Note cards and other informals should be treated as a normal
project and not as correspondence.
CORRESPONDENCE SETTINGS
Follow the guidelines for letterhead correspondence. There is a
difference in the top border specifications; because of the facsimile
title, the top border has been set to 2.5", similar to the
memorandum specifications.

BUSINESS CARDS
The business card provides quick identification of both the
individual and the College. The card format continues the stylistic
theme of all correspondence and can be used alone or with additional
stationery.
The cards are printed on #80 cover weight Elements stock with two colors: Black and MBC Blue (PMS 281). The Mark is the only element printed in MBC Blue. All additional information is in black.
To order new business cards, please contact the Business Office. Allow the longest amount of time possible before you need them because of the expense in printing individual orders. If, however, they are gang (group) printed, the cost savings is well worth the wait.
The printing company has a template of the business card and only needs your name, title, extension, fax number and e-mail address to create your card. Please get approval from MPR for any deviation in the information provided.

LETTERHEAD
All MBC correspondence is designed to stand alone as well as to
compliment the whole. Letterhead is available from the Business
Office. Personalized letterhead must be treated as a normal print
job including proper forms and PO requirements.
The following guidelines are required for consistency in all College letterhead correspondence:
The dateline is to be left-justified, positioned on the first line, 2.25" from the top of the page.
Two lines separate the dateline and the name block and two lines follow the name block, preceding the greeting. A single line follows the greeting.
All text is to be single-spaced, adding an extra return before each new paragraph. While full left justified text is the preferred format, it is also presently acceptable to indent paragraphs. No "double-spaces" are to be used between sentences. The complimentary close follows the body text with a blank line between, followed by the sender's name three lines later space for the signature.
The second sheets (the name for any sheets needed after the cover sheet) are to be put on unprinted paper of the same type as the cover. Maintain the same margins and type specifics as the first page.

ENVELOPES (AND BRE)
Envelopes (and Business Reply Envelopes) are an extension of the
correspondence they carry and should reflect the same style and
feel.
The paper stock for the letterhead envelope should be the same stock as the letterhead.
Seal 2000 is displayed in the upper left corner with College location information (NOTE: not the complete contact info) centered below. As a general rule URLs, phone and fax numbers are not to be placed on carrier pieces such as envelopes. If an office is printing the envelopes with their office name, it is to be the first text line under the Seal 2000.
The College BRE is a standard #9, 24# White Wove Bond. The Business Office stocks a small amount for small project. For most projects that require the recipient to return documents, a specialized BRE is needed. Please check with postal regulations and the Business Office for postal cost considerations. You also need to determine an internal routing code to be placed in the upper left corner.

MONARCH STATIONARY
Monarch letterhead is a personal letterhead. Its use is reserved
for individuals that communicate with their constituents in a more
casual manner. Any office/individual desiring to use monarch stationery
must purchase it from their budget. The Business Office does not
stock such stationery. Because of its more personal nature, you
may desire to put your name instead of/or in addition to the title
and College information at the bottom of the page.
Rules concerning monarch letterhead are based upon general letterhead specifications, but more relaxed to reflect the nature of the correspondence. Matching envelopes are required for sending monarch correspondence out.

MEMORANDUM
Although memorandum is an internal correspondence piece,
there are guidelines for proper, consistent use.
The paper stock for most memorandum is typical copy bond. Other types and colors of paper may be used for various types of memos/announcements; however, letterhead paper is not to be used.
Following the consistent use of a graphic element on all College publications, the Mark is to be displayed as specified on all memorandum. A computer file template is supplied for this purpose.
Because of the nature of memos, contact information does not need to be printed along the bottom of the piece.
