University Communications strives to ensure that all campus publications are produced cost-effectively, with maximum style, consistency, and quality.
Following are some simple procedures to guide you through our creative production services.
- Before you call us, please address these issues:
- audience
- publication's objectives
- budget
- add-ons needed (reply card or envelope, maps, etc.)
- quantity
- mailing method (self-mailer, first-class, bulk)
- fulfillment
- mailing date
- With this information in hand, e-mail or call ext. 2305 to discuss your
needs with an University Communications staff member. Please allow at least for at least 4-8 weeks
before your publication is to be mailed or distributed.
- Publications professionals will want to learn more about your needs and
the purpose of the publication. They can then work with you to develop concepts
for the material, and provide printing and mailing cost estimates. Upon
initiation of the project, you must provide an account number to which any
printing or production charges may be charged, and funds will be encumbered.
- Once the editorial material is complete, it is turned over to freelance graphic designers via e-mail or on disk. You will be asked to review and initial various proofs, without delay. The client, working with University Communications, is responsible for ensuring that labels, postage payment, enclosures, etc., are delivered to the fulfillment site in time for the prompt folding, finishing and mailing of the publication. If fulfillment is handled internally, the client must provide delivery and storage instructions.
Keep in mind that good printing is almost always a three-week process. The following schedule will help you plan your project with adequate time to ensure its success.
SUGGESTED PUBLICATIONS TIMETABLE
- Invitation: at least 4 weeks before mail date
- Brochure or newsletter: at least 6 weeks before mail date
- Full-color brochures: at least 8 weeks before mail date
Ideally, all publications should be scheduled with University Communications before the beginning of each budget year. University Communications tracks publication mailing, distribution, and constituency saturation. There are times when two projects could be gang-printed or -mailed. Some publications may also be rescheduled due to conflicting publication timetables.

Each print publication must display certain material such as the University name, a graphic element and complete contact information.

Direct phone numbers and department faxes can be substituted on logical publications. E-mail addresses may generally be added although it is recommended to use a general e-mail account (i.e., admissions@mobap.edu, humanresources@mobap.edu) rather than personal accounts (i.e., cruisetd@mobap.edu, jturnbull@mobap.edu).
The web address must always be on every publications, although it is acceptable to add directory-specific notation (i.e., www.mobap.edu/spiritwing/). All secondary notations must be approved by the webmaster prior to publication.
Some publications must display the mission statement, ADA notation, accreditation documentation, etc. Please consult this page for more information on these topics.
