University Communications encourages all University departments to employ quality photography in print or online publications. University Communications' photography is publication-based and limited in interest and scope to interdepartment needs.
MBU MAGAZINE AND WEBSITE
University Communications takes photos for the MBU Magazine and web publication with or
without notification from hosting departments. Not all events are covered.
Event planners should provide free entry to event for University Communications staff members.
PUBLICATIONS PHOTOGRAPHY
Departments needing professional photos for publication use are restricted
from "doing it themselves" and limited when employing freelance photographers.
All professionally-commissioned photography must be coordinated with University Communications.
ATHLETICS
The Sports Information Office is responsible for
athletic photos, including coach and athlete headshots and team photos. Quality
promotional images should be forwarded to University Communications for use in publications.
CAMPUS PHOTOGRAPHY SERVICES
Photo Taking
University Communications offers limited University photography services based on time
and available resources. Photography shooting services cost $30 per hour
during 8 AM - 4:30 PM; weekends and evenings will be billed at $50 per hour.
If equipment rentals are necessary, the requesting office will be responsible
for any additional cost. University Communications generally shoots with digital equipment and
requests for film photography will incur additional costs. CD-Rs of photos
shot during a billable session are provided at no additional cost. Prints
and digital editing will incur additional charges.
Photo Prints
Departments can request copies of digital images for official MBU use. Images
will be saved in original jpeg format and burned to CD-R at the
cost of $10 a disc. University Communications does not order prints. These images are still the property of the University and are restricted from other use. University Communications does not offer photo retouching services on a regular basis and when made available, costs will be made known in advance.
Archive Research
Departments seeking photos from the archives must consider the scope
of their search. Photo archives are not available for review. Instead, departments
may request copies of subjects (events or entire topics that may be organized
easily) and they will be furnished review copies at $10 per disc.
All campus photography originals (negative and positive film as well as digital originals) must be stored in University Communication offices.
Archive Status:
- 2001-present :: Digital archives; limited use of film.
- 1994-2000 :: Film archives; occasional use of digital images.
Archives are made yearly and any photo research needed will be billed $10 per hour for the requesting department, not including reproduction costs. Requests for the current year's photos will not incur any research costs unless they are complex and require extensive research.
Scans
University Communications does not scan images for other departments; we recommend you use your
desktop scanner for web or internal use or send images to a print shop for
professional scanning. We also cannot import your images from your digital camera. Please consult the software and instructions that came with your camera.
HIRING A FREELANCE PHOTOGRAPHER
When hiring photography service, please be informed with the nature of your
specific need. University Communications is available to assist in your photo planning; all hired
photography must be coordinated through University Communications. Before calling University Communications, determine
the following:
Budget - Photographers are at least $500/half-day, plus expenses (film, development, etc.)
Preparation - Scheduling location, selecting wardrobes, and coordinating on-location makeup is imperative.
Use - If the project is for publication, a comprehensive layout would assist University Communications and the photographer to determine the best way to shoot each image. Photo examples that illustrate a style, perspective or concept are always recommended.
Timing - keep in mind logistics for weather, location, model availability, and post-photography development, scanning, and comp work.
Without question, full, unrestricted image rights should be required when hiring freelancers. MBU will never employ photographers that restrict image use in any way, or that do not provide image originals. All images originals (negative and positive film) are stored in University Communications even if another department commissioned the work. University Communications will manage proper storage and use of the images; most photography cannot be used in multiple publications but some cases of dual-use are obvious as with the website and sister promotional pieces.
MODEL RELEASE
The Student Handbook includes a standard student model release and enrollment
at MBU is an active agreement with the policies stated therein. Separate
model releases are not needed of current MBU students but attention needs
to be noted in situations with prospective students, former students,
or other photographic models. When using models not covered by the Student
Handbook policies, please contact University Communications for a proper model release. Models
are not financially compensated.
